Privacy Policy

Last updated: July 2026. Trellishub ("Trellis", "we", "us") respects your privacy. This page explains what personal information we collect through this website, why we collect it, and how it's handled, in line with South Africa's Protection of Personal Information Act (POPIA).

Trellis (Pty) Ltd (registration number 2026/534252/07), trading as "Trellishub", is a private company registered in South Africa with its registered office at 32 Carters Road, Kimberley, Northern Cape, 8301, and is the responsible party for the personal information described in this policy.

What we collect

• Account information: name and email address (and a securely hashed password, if you sign up with email/password instead of Google) when you create a Trellis account.
• Contact & booking details: name, email, phone number, and any message or project details you submit through our Contact form or Booking form.
• Chatbot conversations: the menu options you select and any name, email, phone, or project details you choose to share with our chat assistant. The chatbot can be used without an account.
• Care Plan status: if you take up our Care Plan, we keep a record of its status and renewal date so we — and you, via your account — can keep track of it.
• Payment records: invoice and payment history (amount, date, and payment method) so you and we can track what's been paid. We do not collect or store your card details — these are handled directly by PayFast.
• Basic technical data: general region/country (used only to show pricing in your local currency) and standard browser/user-agent information.

Why we collect it

We use this information to respond to enquiries, prepare quotes, schedule consultations, manage your Care Plan, and follow up on conversations you have with our chatbot. We do not sell your information, and we do not use it for advertising.

How it's stored

Your information is stored in a secured Supabase (PostgreSQL) database. Access is restricted to the two Trellis developers via a password-protected admin area — it is never publicly visible. Passwords are hashed and are never stored or visible in plain text.

How long we keep it

We retain account, booking, contact, and chat data for as long as your account is active or as needed to provide our services and meet legal/accounting obligations. You can request deletion at any time (see below).

Your rights

You can request access to, correction of, or deletion of your personal information at any time by emailing info.trellishub@gmail.com. You can also request to cancel your Care Plan from your My Account page, subject to the notice period in our Terms of Service.

Third parties

We use Supabase (database hosting), Vercel (website hosting), Google (optional "Sign in with Google" and email delivery), PayFast (payment processing — see below), and a free IP-geolocation lookup (to display pricing in your local currency) — each only processes the minimum data needed to perform that function.

Payments

If you pay an invoice or set up recurring Care Plan billing, your payment is processed entirely by PayFast — we never see or store your card details. PayFast shares with us only the confirmation needed to mark your invoice as paid or activate recurring billing (a transaction reference, amount, and status). See PayFast's own privacy policy for how they handle your payment information.

Data we process on your behalf

If your project involves us building or hosting a contact form, booking system, e-commerce checkout, or similar feature that collects personal information from your own customers or site visitors, we process that information as an "operator" on your behalf under POPIA — not as the responsible party. In that role, we only process your customers' personal information according to your documented instructions (as configured in the feature we've built for you), apply appropriate technical and organisational safeguards to protect it, and don't use it for our own purposes. You remain responsible, as the responsible party, for ensuring you have a lawful basis to collect that information and for meeting your own obligations to your customers under POPIA.
